The legacy system handled only one warehouse. After expanding to three, spreadsheets filled the gaps, and each client’s handling rules and billing terms lived in the memory of long-tenured staff. Month-end invoicing took three people a full week to reconcile, disputes were frequent, and peak season was covered by hiring temps while transit performance stayed volatile.
Solution
WMS first unified operating processes and location schemes across all three warehouses, encoding every client’s handling rules and billing terms into the system. The label system was added for multi-carrier rate shopping, with pallet transfers moving through the LTL module. Clients then received self-service portal access for inventory and invoice lookup.
The most immediate change is that month-end no longer means all-hands overtime on reconciliation. Invoices used to be calculated by people, so any client challenge meant digging through records. Now every charge traces back to something in the system, and disputes dropped on their own.
